When at all possible, especially when entering the initial data, it is easiest to enter the family and all family members using the Family and Members window.  (From the main menu select Membership > Family > Family and Members. Or click the Family button on the toolbar.)

Family information contains the name of the primary contact, address, city, state and zip code.  The telephone number is the primary contact number for all members of the family and will be printed on all reports and directories.  (Each member can have unlimited contact telephone numbers associated to them.)

 

The list box located below the family records displays each member of the selected family.  When a new family is entered the basic information is inserted as a new member record automatically.  This is the required single member record.  Click the Edit button, located at the bottom of the window to enter and edit the individuals unique information.  For example if the default gender is Male and this Primary Contact is a female you will want to change the gender selection.

The telephone number may be marked as Confidential.  This means the family does not want the phone number given to anyone.  However, the telephone number will be printed on the family reports and directories.  If the family does not want their phone number printed they will have to leave the telephone number field blank.

 

Click the select all checkbox to mark all Family records to either:

ü Click the Labels button to print a mailing label for each marked family,

ü Click the Merge button to create a mail merge file to use with MS Word, MS Works or any word process that supports the mail merge function.
