Using the Outreach Manager


 

The Outreach prospects are maintained from this window.  The minimal information to add a new prospect consists of: Name, address, city and state.  The source of this data varies from church to church.  Most have a number of ways to collect this information.  Visitor cards, new home sales, the utility companies, to name a few.  Because this program is multi-user any number of staff members can simultaneously enter and maintain data.

The required data fields for a prospect are:

First name,

Last name,

Street address,

City and

State.

 

The information for the remaining fields may be filled in after the first visit has been completed.  These include:

Is the prospect saved,

Is the prospect attending another church,

Birth date,

Occupation,

Marital status,

Gender,

Home and work phone numbers, and

Email address.

 

Many of these fields may never be used.  Some of this information will make the matching of a prospect to the right team easier.  Having men and women on a team in the right age range and/or with similar backgrounds may make the initial contact easier.

 

There are fields that have to do with the history of the last visit and the scheduling of the next visit.  The next scheduled visit date and the assigned team will be completed before the visit.  The date of the last visit and the date of the next visit are updated when the results of the visit been entered using the completed prospect data sheet.

This window is the update window for an outreach prospect.  The blue fields are the required entry fields.  The other information can be added when it is known.  Completing the data sheet after a visit is the best source of this information.

 

Use the large memo field to enter the family member information and any other information that will help the person making the visit more informed.

 

When the visit is complete the data sheet is turned in by the visiting team and the data record then can be updated with any information concerning the individual/family in general and that visit.

The data for each visit is not complex but very important.  The date will default to the date the information is entered.  If this is not the correct date it is important to change it.  This is the value that drives the Last Visit and Next Visit date fields.

 

Record who made the visit and make any notations concerning the visit.
