Appointment



There are a number of entry fields on the appointment update form.  Only two of them are required to save a new record.  First is the Contact Name and the second is the Resource ID.  The appointment date defaults to the date of today and the duration defaults to 60.  Of course there must be a date but the duration can be zero (0).  These are the field definitions:
Date - appointment date,
Time - appointment starting time,
Duration - how much time to allocate for the appointment or task.  The duration is in minutes.  This information is used to block out the total time on the Daily Schedule.
Contact ID - this is an optional field.  You may select a person from your Contact file.  If you do not want to select from the Contact file leave the field blank.
Contact Name - If a contact has been selected the name will appear here.  Alternately you may type your own.  For instance; Staff Meeting.  This gives you a tremendous amount of flexibility.
Address - this field is currently not used in this program version.
Phone Number - automatically filled when a contact is selected.  A phone number must exist in the Contact file.  Or you can key in a phone number.
Maintain Repeat Appointments
IMPORTANT NOTE: When changing the date and/or time of a counseling or visitation appointment use the Counseling or Visitation update form to keep both synchronized.  Changing either appointment type from this window will NOT update the Counseling or Visitation record.
