Easy Church Membership Giving Archive Details 
 Over time there will be a number of records in the member gift file. You may see a slow down of processing and screen refresh rates. This process will rollup into one total all gifts from each member for the year entered. After the process is complete the records for the year processed will be removed and lastly the file will be compacted.

The church administration with the advice of your accountant must determine how far back to archive. If the decision is to archive the prior year that years data will not be available for reporting and analysis with the current year. I would suggest you, at the minimum, keep last years information so the current year and the last year can be compared using the Report Designer and the Cross Tab Spread Sheet Wizard.

 
   
 

Enter the year to archive then click the Start Archive button. There will be two opportunities to abort starting the process. Once the Yes button is clicked when the second chance is displayer the process will start. As the process runs the number of records read and the number of records archived will update.

 
   
 

All of the archived data may be viewed by clicking Giving > Archive >View Archived Data. Notice this is only a view window. No editing is allowed, nor can new records be added. All of this data must be created by the archive process. This protects the integrity of the information.

 
   
 Purging allows the one or more records to be permanently removed from the Easy Church Membership database. The Search field, locator, on this window requires the entry to be an exact match. To purge the year 1999, enter 1999 in the locator field and press the TAB key. The only records displayed will be those with the year 1999.
